FocusFlow's design principle is simple: your data stays on your phone by default. This policy explains exactly what that means — and what happens when you actively turn certain features on.
The short version
- Your tasks, focus records, energy check-ins, and day counts stay on your device by default.
- FocusFlow requires no account or login, and there are no servers storing your tasks or notes — apart from anonymous presence counting: random IDs stay briefly in memory, while capacity monitoring retains only hourly aggregate peaks with no IDs or content; what you submit if you take part in Share & Get Membership is described below.
- No ads, and no cross-app tracking or ad profiling. FocusFlow uses anonymous usage analytics (PostHog) to understand how features are used; it's on by default and can be turned off anytime in "Me → Share & Feedback".
- Five optional features reach beyond your device: iCloud sync (within your own Apple account), AI task breakdown (using your own API key), anonymous presence count (sends only a random ID), anonymous usage analytics (an install identifier plus feature-usage events and device/environment info, no content), and Share & Get Membership (a post link and optional email that you choose to submit). Details below.
- Deleting the app erases all data it stored on your device.
What FocusFlow stores on your device
To function, FocusFlow stores your usage data locally on your iPhone (in system UserDefaults): tasks and micro-steps, focus duration records, energy check-ins, day counts, garden progress, quick notes, and your preferences (nickname, avatar, focus duration, notification toggles, etc.). By default, this never leaves your device.
Optional: iCloud sync
If you enable iCloud sync, FocusFlow uses Apple's iCloud key-value store (NSUbiquitousKeyValueStore) to sync the data above between devices signed into your own Apple account, so nothing is lost when you switch or use multiple devices.
Sync happens entirely within Apple's iCloud system; the data lives in your own iCloud account. We cannot see or store any of it. You can turn it off anytime in iOS Settings → your name → iCloud.
Optional: AI task breakdown
FocusFlow can break a task you "can't open" into smaller, easier first steps. This requires AI, and we use a "bring your own key" approach:
- You choose an AI platform in Settings (e.g. DeepSeek, Tongyi, Kimi, Zhipu, OpenAI) and enter your own API key.
- This key stays on your device only — FocusFlow never collects, uploads, or stores it.
- Only when you tap "AI Breakdown" is the task title/description sent from your device directly to the provider you chose, to generate micro-steps; the returned steps are shown in the app.
- How that data is handled is governed by the privacy policy of the provider you chose — please review their terms. If you never use this feature, no task content is ever sent.
Optional: anonymous presence count
During a focus session, the screen gently shows "N people are focusing with you right now." To count that number:
- While focusing, your device sends a heartbeat with a random ID to the counting service every 30 seconds. This ID is regenerated for each session, contains no personal, device, or task information, and cannot be linked back to you.
- The counting service keeps a 90-second "who's here" list in memory — 90 seconds after your heartbeat stops, your ID is automatically forgotten. It does not retain IDs, personal information, or content; for capacity monitoring, it keeps only hourly aggregate peaks without that information.
- You can turn this off with one tap in the app's Privacy settings; once off, no heartbeats are sent.
Optional: anonymous usage analytics
To understand which features are actually useful and where things still need polish, FocusFlow uses PostHog (PostHog, Inc.) for anonymous usage statistics. Data is relayed through our domain e.daylumen.com and stored on PostHog's servers in the United States.
- What is sent: a randomly generated install identifier (not linked to your Apple account, name, or email; kept in the device Keychain and usually survives reinstalling); the names of product interaction events (e.g. "focus session completed," "garden leveled up," "opened dress-up screen," "opened the upgrade screen," and the result of a purchase or restore — product ID only, never payment details); whether a flow succeeded and the category of any failure, how long a step took in coarse time ranges (to see which step is slow; no content), and permission results; device and environment info (app version, OS version, device model, system language, time zone, screen size, network type); and an approximate region — PostHog estimates your country and city from your IP address, and the IP address itself is not stored.
- Crash diagnostics: after a crash, the next launch sends one crash report containing the crash type, error message, stack trace and binary-image information.
- We don't record your screen. Only when rapid repeated taps are detected do we log, once, the approximate on-screen position of that tap, to find buttons that don't respond; we never record what was tapped.
- These events never include your task titles, notes, AI key, or any other text you type.
- It's on by default. You can turn it off anytime in "Me → Share & Feedback → Anonymous usage analytics"; once off, no more events — including crash diagnostics — are sent.
- This data is used only to improve FocusFlow itself — it is never used for ad targeting, sold, or combined with data from other apps.
Optional: Share & Get Membership
Only if you choose to take part in the in-app "Share & Get Membership" activity and submit an application does FocusFlow send the following to our server (ugc.gatheon.com): the Xiaohongshu (RED) post link you share, an optional email address (you can leave it blank), the install identifier above, the app version, system language and App Store region. This is used only to verify your application, grant the membership reward and tell you the result. If you enter an email, the result and any redemption-reminder emails are sent by Customer.io (Customer.io, Inc., United States), which receives your email address and application status for that purpose. The processing status of your application (without the link or email) is also recorded in the anonymous analytics above. Entering or sharing an invite code sends the install identifier, the code, your first-install date and App Store region to verify the referral. None of this happens unless you take part; to delete your application and email, write to focusflow@gatheon.com.
Notifications
If you allow notifications, FocusFlow schedules local notifications on your device (e.g. focus-session end reminders). These are generated on-device and never pass through any server.
What we don't do
- We do not upload your tasks, notes, or any content. The only exceptions are the anonymous presence count above — just a random ID, forgotten in 90 seconds, containing nothing — and the post link and optional email you choose to submit in Share & Get Membership.
- We do not sell, rent, or share your data with anyone.
- We do not use your data for advertising, and we show no ads.
- We do not do cross-app tracking or device fingerprinting; the only third-party analytics we use (PostHog, see "Optional: anonymous usage analytics" above) reports only event names, device/environment info, an approximate region and a random install identifier, and can be turned off anytime.
- Using FocusFlow requires no account, email, or login (an email can optionally be entered in Share & Get Membership).
Your control
- You can grant or revoke permissions like Notifications anytime in iOS Settings.
- You can turn off iCloud sync, anonymous presence, and anonymous usage analytics anytime; you can clear your AI key anytime.
- FocusFlow's data lives only on your device (and in your iCloud account). Deleting the app erases all on-device data.
This is not a medical service
FocusFlow is a focus and productivity tool inspired by an understanding of ADHD brains. It is not a medical device, does not provide medical diagnosis, treatment, or therapy, and is no substitute for professional ADHD evaluation and care. If you're struggling, please consult a qualified professional.
Children
FocusFlow is not directed at children under 13, and we do not knowingly collect their data.
Changes to this policy
If this policy changes, we will update this page and the date above. Since FocusFlow keeps none of your tasks or notes on servers, changes only affect the app's future behavior on your device.
